We currently have an opening for an Office Assistant. This is an entry level, full time position. We are seeking an individual who is a fast learner and who is motivated to advance within the company as we grow. Please send cover letter and resume.

JOB DESCRIPTION:

As an Office Assistant (OA) it is your responsibility for many data entry duties for the company as well as many other administrative duties. The OA is responsible for writing quotes, some light bookkeeping duties, inclusive of some account tracking. The OA has a good knowledge of general office procedures and can easily learn new tasks. They are outgoing and are able to work efficiently with little supervision. The OA is responsible for:

Reception duties – answering telephone, filing, managing the paper flow, recording and ensuring all orders are accounted for.
Collecting deposits (if applicable) on orders once they have been given approval.
Assisting with inventory control and tracking, as needed.
Order, Estimate; requiring recording and tracking notes of each project.
Ordering of product and reviewing product orders for accuracy.
Ordering of office supplies.
Follow up on emailed or faxed estimates to ensure that they were received by the customer; and schedule for future follow up.
Checking for emails, monitoring sending and receiving emails and faxes.
Order tracking; and reporting such to the Sales & Service
Administrative assistance to Management and Sales staff, as required.
Keeping the front office, staff room and bathrooms clean and tidy.
General office duties, as required.Some travel required
Any other duties to help out as asked.The Office Assistant must have the ability to:

Deal effectively with customers, vendors and co-workers.
Multitask and work efficiently with interruptions.
Quickly learn new tasks.
Comfortably and efficiently use a computer and applicable software.
Efficient keyboarding skills and efficient use of the numeric keypad.
Follow through on commitments and follow instructions given by management.
Maintain order and organization in the entire office.
Protect confidential information.

Qualifications:

Required education:

High school or equivalent
Office assistance training programs
Required experience:
